Job Title: Wealth Management Office

We are seeking a highly organized and detail-oriented individual to join our team as a Wealth Management Office Coordinator in Sydney. As a key member of our operations team, you will provide administrative support to our NSW State Manager and Administration Manager, ensuring the smooth day-to-day functioning of our office.

Key Responsibilities:
  • Provide administrative support to the NSW State Manager and Administration Manager, including managing the branch inbox, responding to queries from various teams, and coordinating travel arrangements.
  • Support the administration of the entire office, including maintaining organizational charts, phone lists, and floor plans.
  • Coordinate events, seminars, and client meetings, including room bookings, RSVPs, and catering arrangements.
  • Assist with the coordination of branch events, client events, seminars, research, and company presentations.
  • Manage branch leave registers, reconcile leave registers with Workday, and process invoice requests from front office staff.
  • Compile and reconcile expense claims for management and assist other staff as required.
  • Document management, including storing, filing, and archiving of client and management documents.
  • Distribute daily open order trade reports.
  • Assist with processing new hires or leavers for the Sydney office.
Requirements:
  • 1-3 years of prior administration experience in a corporate or financial services institution.
  • Tertiary degrees highly preferred, especially those within commerce-related fields.
  • Prior exposure to financial services preferred, though recent graduates with minimal exposure will still be considered.
Key Competencies:
  • Excellent customer service and telephone manner.
  • Great organization skills and ability to maintain files.
  • Well-developed IT literacy, database, and analytical skills.
  • Knowledge or interest in financial markets and the wealth management/financial planning industry.
  • Understanding of compliance and legal requirements pertaining to our client.
