
Administrative Support Professional

We are seeking a highly skilled and dedicated customer service representative to join our team. The ideal candidate will be passionate about delivering exceptional customer experiences and thrive in fast-paced environments.
The role involves providing courteous and accurate responses to patient and staff enquiries, maximising patient appointments and minimising schedule gaps. You will also be responsible for creating, rescheduling and cancelling appointments as required, maintaining a clean and organised reception area, and receiving patients and assisting emergency patients per HCF protocols.
You will work closely with other dental centres regarding patient files and records, perform daily banking and balance takings, and prepare end-of-day reports. Additionally, you will liaise with the accounts team to raise patient accounts, claim benefits, and process refunds, credit adjustments, and benefit issues.
- Responsibilities:
- Provide courteous, prompt, and accurate responses to all patient and staff enquiries.
- Answer phones within established KPIs and ensure all calls are monitored and responded to throughout the day.
- Maximise patient appointments and minimise schedule gaps.
- Create, reschedule, and cancel appointments as required.
- Maintain a clean and organised reception area.
- Receive patients and assist emergency patients per HCF Dental protocols.
- Raise patient accounts, claim benefits, and receipt gap payments efficiently.
- Follow up on gap account payments and process refunds, credit adjustments, and benefit issues.
- Perform daily banking and balance takings, preparing end-of-day reports.
- Liaise with other Dental Centres regarding patient files and records.
- Essential Skills, Experience, and Qualifications:
- Neat personal appearance and excellent presentation.
- Competence in appointment booking and account systems.
- Ability to maintain strict confidentiality, tact, and diplomacy at all times.
- Knowledge of Dental Centre systems and procedures.
