Job Summary

We are seeking a highly organized and proactive Team Assistant to join our team. As the Team Assistant, you will play a crucial role in providing administrative support to our team or department. Your main responsibilities will include managing calendars, coordinating team activities, and facilitating effective communication within the team.

Key Responsibilities

  • Provide general administrative assistance, including managing calendars, scheduling meetings, and maintaining files and databases for the team or department.
  • Facilitate effective communication within the team, including coordinating team activities and ensuring that all team members are informed and up-to-date on important information.
  • Support the Senior Executive Assistant & State Leadership Team in ensuring adherence to policies and procedures, maintaining consistency, and promoting best practices in policy governance.
  • Handle incoming and outgoing communication, including drafting emails, letters, and other documents on behalf of the team or department.
  • Meeting logistics, including booking rooms, coordinating schedules, preparing meeting materials, and taking minutes as required.
  • Support team members with travel coordination, including booking flights, accommodations, and transportation when needed.
  • Assist in creating, formatting, editing, and proofreading various documents, such as reports, presentations, and spreadsheets.
  • Foster a positive and collaborative team environment by contributing to team-building activities and promoting effective communication and information sharing.
  • Provide additional support as required, including assisting with special projects, conducting research, and performing other assigned administrative duties to support the team's objectives.

Requirements

  • Previous experience in an administrative or support role, preferably within a team or departmental setting.
  • Strong organizational and time management skills to handle multiple tasks, prioritize work, and meet deadlines efficiently.
  • Excellent written and verbal communication skills.
  • Exceptional attention to detail to ensure accuracy in administrative tasks, document preparation, and data management.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), as well as familiarity with database management and collaboration platforms.
  • Strong problem-solving skills and a proactive approach to challenges.
  • Ability to adapt quickly to changing priorities, work effectively under pressure, and handle multiple tasks with composure and professionalism.
  • A collaborative and team-oriented mindset, with the ability to work well as part of a team while also being self-motivated and able to work independently.
