The Role

The Administrative Support Officer plays a crucial, client-facing role, delivering administrative assistance to the facility Service Manager, as well as our clinical team, care staff, and elderly residents. This position is offered on a casual basis, with responsibilities spanning various locations. We are seeking Casual Administrative Support Officers to cover shifts from 8:00 AM to 4:15 PM on Mondays and from 8:30 AM to 4:45 PM from Tuesday to Friday across our different sites.

Key Responsibilities:

  • Provide administrative assistance to all operational functions of the facility, ensuring the seamless execution of daily activities.
  • Address inquiries from residents and visitors in a friendly and welcoming manner.
  • Offer onsite scheduling support to all staff and managers using the Etivity system.
  • Ensure all documentation related to staff and residents is accurate and that records are meticulously maintained.
  • Coordinate training for permanent staff members to uphold mandatory compliance.
  • Maintain control and security in the office regarding finances, valuables, and records, ensuring unauthorized access is minimized.
  • Deliver efficient, precise, and timely accounting support to the Finance Department.
  • Coordinate various regular reporting functions and other activities as required in collaboration with the manager and clinical staff.
  • Provide reception and telephone support.
  • Manage petty cash, stationery, photocopying, scanning, faxing, data entry, filing, and emailing as necessary.

About You

The ideal candidate will possess strong organizational and time management skills, with the ability to perform well under pressure and meet deadlines. You will have excellent interpersonal and communication abilities, along with well-developed computer skills and the capacity to quickly learn new software applications. You should be capable of working independently as well as collaboratively within a team.

Essential Criteria:

  • Proof of COVID-19 and current 2024 flu vaccinations in accordance with Amana Living policies
  • Ability to obtain a National Police Clearance (valid within 6 months)
  • Successful completion of pre-employment forms and reference checks
  • Previous experience in office administration within the aged care sector.
  • Advanced proficiency in Microsoft Word and Excel
  • Understanding of accounting/bookkeeping principles (debtors and creditors)
  • Valid driver's license
