Event Management Specialist Role

We are seeking a highly skilled and detail-oriented Event Management Specialist to lead the end-to-end management of delegate registrations for our diverse portfolio of conferences and events.

  • Manage event databases, registration websites, and delegate communications to ensure seamless delivery.
  • Coordinate flight changes, room blocks, and transfers with precision and accuracy.
  • Support attendee communications and provide exceptional customer service.
Flight & Accommodation Logistics:
  • Manage all delegate flight bookings, including liaising with travel agencies and individual delegates to secure itineraries.
  • Coordinate delegate accommodation, including negotiating group rates with hotels, managing rooming lists, booking allocations, and handling special requests.
  • Distribute delegate itineraries in a timely manner.
Budget Management:
  • Develop and manage budget allocations to support the guest experience component of the overall client budget.
Required Skills & Qualifications:
  • Minimum 3 years of experience in event registration/travel coordination/events.
  • Strong attention to detail, with the ability to manage multiple projects simultaneously in a fast-paced environment.
  • Advanced skills in Word, Excel, and PowerPoint.

The ideal candidate will possess a passion for creating memorable experiences, be proactive and self-motivated with a strong work ethic, and have excellent interpersonal skills and a collaborative approach.
