Key Role: Administrative Support Specialist

Job Description:

This is a dynamic opportunity to provide high-level administrative support functions in a hybrid working environment. The role requires exceptional written and verbal communication skills, experience in managing multiple tasks and inquiries with professionalism and efficiency, and the ability to build and maintain strong relationships with colleagues and key stakeholders.

The successful candidate will be responsible for coordinating branch administrative support, delivering comprehensive administrative functions, receiving and assessing enquiries from internal and external stakeholders, and providing administrative and project support across several teams.

Responsibilities:
  • Administrative Support: Coordinate Branch administrative support to meet critical timelines, deliver a comprehensive range of administrative support functions, including diary and meeting management, routine database management, secretariat support to committees, photocopying, document production, compilation and distribution, and maintenance of office equipment.
  • Enquiry Management: Receive, assess, and manage enquiries from internal and external stakeholders, including requests for meetings.
  • CORRESPONDENCE: Review and manage correspondence for signature by the Executive Director, monitoring for quality, and/or seeking additional information or clarification from the author if necessary.
  • Document Preparation: Draft and prepare general correspondence, presentations, reports, and submissions.
