About the Role:

The APS 5 Executive Coordination and Administration Officer will provide general administrative support across two sites, as well as executive administration for the executive and admin teams of our client.

A key function of the role is the coordination of the client's input into departmental and other requests for information and action.

Duties:

  • Coordinate with other administrative staff to provide general office support for all staff.
  • Provide executive administrative support to the Senior Leadership Group, including diary and inbox management, organising meetings, agendas and briefing packages; and taking meeting minutes.
  • Arrange international and domestic travel for the SLG and assist with acquittals.
  • Facilitate the effective flow of communications between the SLG and staff.
  • Work with the SLG to manage workflows and coordinate the client's input into departmental and other requests for information and action.
  • Help foster a positive workplace culture through the coordination and promotion of information and activities that support staff wellbeing.
  • Plan and organise branch and senior management events.
  • Manage the upkeep of key reference documents and guides and ensure compliance with all relevant reporting requirements.
  • Maintain consistent and up-to-date record-keeping processes.

Required experience/skills:

  • Substantial experience in administrative or office management roles, including some exposure to executive coordination and support.
  • Highly adaptable with strong attention to detail, prioritisation, time-management and organisational skills.
  • Well-developed communication and interpersonal skills, with a history of building and maintaining strong relationships.
  • The initiative to work constructively and proactively under limited direction, and effect continuous improvement.
  • The ability to maintain confidentiality, and exercise discretion and sound judgement.
  • The ability to interpret and follow policy and processes, and to assist staff in meeting their corporate obligations.

Desirable experience/skills:

  • Experience within a government organisation, including competency in the use of government systems and processes.
