About the Role

We are seeking a highly organized and proactive Administrative Coordinator to join our team in Melbourne. As a key support position, you will provide critical assistance to our Senior Leadership team and oversee office operations.

Responsibilities:

  • Act as the primary point of contact for guests, visitors, and facilitate meetings at the office and interstate.
  • Provide calendar management, meeting scheduling, and travel coordination for senior leaders.
  • Coordinate with vendors to maintain office safety, cleanliness, and functionality.
  • Arrange office amenities, such as catering and supplies, to create a welcoming atmosphere.
  • Oversee IT support and office technology functionality.
  • Manage office security systems, access control, and badge distribution.
  • Arrange hot desking and space allocation for local team members.

Requirements

  • Proven experience as an Executive Assistant or similar role supporting senior-level executives.
  • Proficiency in Microsoft Office Suite and relevant software.
  • Strong organizational and communication abilities.
  • Experience with board meetings and board communications.
  • Interest or experience in the renewable energy sector.
  • Flexibility to occasionally work outside regular business hours.
