This pivotal role involves contributing to the smooth operation of our Sydney headquarters as an experienced Workplace Experience / Executive Assistant.

The ideal candidate will excel in blending operational efficiency with a strong focus on culture and executive support, ensuring our office runs smoothly and our people stay connected.

You'll collaborate closely with our CEO and Chief People Officer to manage executive priorities while fostering a welcoming and well-organised workplace where teams can thrive.

This full-time position is based in Waterloo, Sydney.

Your Key Responsibilities:

  • Manage the CEO's calendar, communications, and meeting coordination with precision.
  • Foster internal and external stakeholder engagement through effective relationships.
  • Prepare polished documents, presentations, and reports that meet the highest standards.
  • Handle confidential administrative and occasional personal tasks with discretion.
  • Maintain a seamless experience for visitors, contractors, and employees alike by overseeing reception, shared spaces, meeting rooms, and supplies.
  • Negotiate and manage vendor relationships for cleaning, catering, and maintenance services.
  • Ensure building access, office devices, and WHS compliance are meticulously managed.
  • Promote a positive experience for visitors, contractors, and employees through attentive service.
  • Plan and host engaging events, including monthly team socials and larger company offsites.
  • Support new joiners by making them feel welcome from day one.
  • Partner with the P&C team to embed culture across the office.

About You:

  • You have proven experience supporting C-suite leaders and managing busy executive calendars.
  • You have a background in office or workplace operations, focusing on quality and efficiency.
  • You're confident using Google Workspace (Docs, Sheets, Slides, Calendar) to stay on top of tasks.
  • You possess strong communication skills and a keen eye for detail.
  • You can manage multiple priorities with calm focus and follow-through.
  • You're genuinely interested in building an inclusive, well-run, and welcoming workplace.
  • You love organising logistics, office supplies, or events and take pride in maintaining high standards.
