About the Role

The Workforce Support Officer will play a crucial role in ensuring the smooth operation of our residential and transition care services. As a key member of our team, you will be responsible for coordinating the rostering and scheduling of front-line staff to provide a reliable and consistent service to our residents.

Key Responsibilities
  • Rostering and Scheduling: Ensure that site rosters are consistently staffed to a high level, as per MCT and AN ACC requirements, to provide reliable service delivery to residents.
  • Shift Management: Ensure allocated shifts are in accordance with individual contracted hours, ensuring that employee rostered hours do not go below contracted hours.
  • Casual Pool Management: Actively manage daily roster variations and coordination of shift replacement for casual pool staff and agency utilization (booking and procurement processes).
  • Communication: Ensure that systems support communication with staff and managers regarding last-minute roster changes.
  • Training and Development: Ensure casual pool competencies are up to date and arrange for face-to-face trainings with ALTI (Amana Living Training Institute).
  • Payroll and EFTs: Manage pay run and EFTs, raising pay queries where appropriate.
  • System Support: Liaise with software service desk (Tambla) to resolve any glitches in the system.
  • Roster Audits: Undertake/facilitate relevant roster audits as directed to identify and address unplanned absences such as sick leave.
  • Leave Management: Ensure that leave is taken for staff with leave liabilities reflected in workforce reports in line with EBA.
  • Reporting: Prepare reports on unplanned changes to rosters and flag patterns to sites with recommendations to address.
About You

The successful candidate will have a background in providing staff coordination or roster management within the Aged Care or Services sector. They will have the ability to interpret data and make informed decisions while working in a highly productive, fast-paced environment with time pressures and managing multiple tasks.

Essential Criteria
  • Evidence of COVID-19 and Current 2024 Flu vaccinations per Amana Living policies
  • Ability to obtain a National Police Clearance (within 6-months validity)
  • Successful completion of pre-employment form and reference checks
  • Certificate III in Business Administration or experience in aged care, rostering, and administration
  • Previous experience in staff coordination or roster management
  • Computer literacy, particularly in effective use of time and attendance systems and Microsoft Office Suite
  • Understanding of the Aged Care or Services sector and experience providing administrative support in this working environment
