
Efficient Administrative Operations Coordinator

The role of an administrative manager involves overseeing and supervising the administration team, ensuring efficient workload management and timely completion of tasks.
Key Responsibilities:- Process Management: Develop and monitor key performance indicators (KPIs) for administrative processes, tracking performance on a weekly basis to drive continuous improvement.
- Budget Oversight: Manage the office budget effectively, ensuring that office supplies and equipment are sufficient and well-maintained.
- Performance Enhancement: Provide insights and recommendations to enhance the overall efficiency of the Office.
- Customer Engagement: Enable accurate preparation of quotes for necessary work and ensure clear understanding of the scope and cost for customers.
- Purchase Order Coordination: Correspond with external clients to receive purchase orders, ensuring the purchase orders align with quotations and invoicing for accounting purposes.
- Production Planning: Prepare detailed job travellers outlining all operations required for various components, planning the production process for each item to ensure efficient workflow and adherence to specifications.
- Team Collaboration: Coordinate effectively between teams, management, and customers to ensure timely delivery of components and avoid delays.
- Record Maintenance: Maintain and update records, including customer WIPs, production logs, and quality control documents.
- Reporting: Prepare detailed reports on resource requirements, budgets, production output, downtime, and KPIs for management review.
- Quality Assurance: Track quality metrics and assist in implementing corrective actions to resolve any issues.
- Communication: Communicate updates, changes, and issues to relevant stakeholders, ensuring transparency and timely resolution.
- Health and Safety: Ensure adherence to health, safety, and environmental regulations.
- Safety Protocols: Assist in implementing safety protocols and documented procedures to minimize workplace hazards and ensure compliance.
- Administrative Support: Provide comprehensive administrative support to the management team, including organizing and maintaining production-related documents.
To be considered for this role, you will need to hold a relevant Diploma or equivalent and at least 1 year of related employment experience, OR; at least 3 years of work experience may substitute for the formal qualification.
This is a full-time position, with an immediate start available. A remuneration package of $80,000 - $90,000 per annum will be offered to the successful candidate.
