We are seeking a highly motivated and organized receptionist/administrator for a medical clinic in Melbourne, Australia.

The ideal candidate will possess excellent communication and problem-solving skills, with the ability to work independently and as part of a team.

The position involves being the first point of contact for patients, managing patient files, appointments, and billing, as well as coordinating communications with medical professionals and ensuring the smooth operation of the clinic.

Key Responsibilities:
  • Answer phone calls, coordinate appointments, respond to patient queries and requests, and greet patients as they arrive.
  • Use relevant programs to manage patient files, appointments, and process billing.
  • Liaise with other medical professionals over the phone and coordinate their communications with the GP in a timely and efficient manner.
  • Process incoming and outgoing fax communications.
  • Ensure that the waiting area and clinic is kept clean and tidy.
  • Be responsible for ensuring the courier pickup of pathology samples from the clinic.
  • Monitor and restock medical supplies in the clinic rooms.
  • Assist the GP with other administrative duties, as required.
  • Management of vaccinations.
About You:
  • Must have the right to work in Australia.
  • Excellent customer service skills - with a professional in-person and telephone manner.
  • Good problem-solving skills, able to respond flexibly and promptly to arising issues.
  • Sensitive and aware of confidentiality requirements in healthcare.
  • Responsible and able to confidently staff the reception area by yourself.
  • Previous administrative or receptionist experience favourable, but not required.

This is a part-time role, requiring availability on weekends, afternoons, and mornings. Face masks must be worn by all patients, and a glass partition separates you from patients.
