Job Title: Marketing Operations Coordinator

About the Role

The Marketing Operations Coordinator plays a vital role in supporting sales and marketing teams. This position requires a highly organized individual with excellent communication skills.

  • Coordinate logistics for meetings and events, including arranging equipment, materials, and travel arrangements.
  • Evaluate external meeting bookings to ensure compliance with financial policies.
  • Collaborate with agencies to develop digital marketing materials, such as email campaigns and social media posts.
  • Manage promotional materials, including coordinating print runs and distribution.
  • Organize HCP educational events, sourcing materials, AV equipment, and IT support.
  • Process financial documentation for payment processing and ensure compliance with policies.
  • Create and maintain Business Unit Sharepoint and Teams sites.
  • Maintain commercial databases to support business activities.
  • Process invoices, purchase orders, and statements of works to ensure finance and procurement policy compliance.
  • Welcome new employees, setting up equipment, training schedules, and meet & greets.
  • Manage BTS request process for IT platform permissions and access.
  • Prepare correspondence, reports, and documents to support business activities.
Qualifications
  • TAFE or equivalent training in secretarial/office management is desirable.
  • Event management experience and/or Diploma in Marketing are desirable.
  • Highly organized with a reputation for accountability, prioritization, delivery, and proactivity.
  • Demonstrated highly developed and agile prioritization skills.
  • Proficient IT skills, including Microsoft Office, CTE/Concur, VEEVA Promomats, and e-wizard.
  • Numeracy and basic procurement skills.
  • Excellent verbal communication skills.
