Business Operations Coordinator

We are seeking a highly organized and detail-oriented Business Support Graduate to join our management support team at Greenroom Robotics. As a key member of our team, you will provide high-level administrative support to our executives, manage schedules, travel arrangements, and communications.
Key Responsibilities- Provide administrative support to executives, including managing schedules, travel arrangements, and communications.
- Monitor and track action on various internal and external business deliverables, often in partnership with external stakeholders.
- Support the coordination of monthly business reporting processes.
- Efficiently schedule, coordinate, and prepare materials for travel, meetings, and events.
- Prepare invoices and bookkeeping as needed, ensuring accuracy and attention to detail.
- Support onboarding and recruitment and HR activities as needed.
- Anticipate and address challenges proactively, demonstrating strong problem-solving skills in a dynamic environment.
- Maintain confidentiality and exercise discretion when handling sensitive information and executive matters.
- Exceptional interpersonal and communication skills.
- Great organizational and time management skills.
- Excellent attention to detail.
- Ability to work in a dynamic, fast-paced environment.
- Strong desire to learn and adapt quickly.
- Ability to create and maintain strong working relationships with colleagues, clients, and external suppliers.
- Minimum qualifications: Advanced skills in Microsoft Office Suite software (Outlook, Word, PowerPoint, Excel, Teams, SharePoint).
- Demonstrated experience in preparation, editing, and formatting of complex documents.
- Prior experience in a client-facing role is desirable.
- 1+ years in corporate support or high-level administrative roles.
