Job Summary

The New Brunswick Extra Mural Program is seeking an experienced Administrative Support Specialist to provide administrative support services to the EMP Unit.

Key Responsibilities
  • Registration/Admission Duties
    • Perform receptionist duties, including answering phone calls, greeting visitors, and taking messages.
    • Process referral requests and enter physicians' orders.
    • Admit, transfer, register, and discharge patients.
    • Assemble, disassemble, and maintain charts, and file reports.
  • Fleet Maintenance Duties
    • Coordinate vehicle fleet maintenance, including repairs, cleaning, and annual inspection.
    • Ensure vehicles are assigned to employees and maintain related documentation.
  • Administrative Support Duties
    • Create and type documents, such as reports, letters, and forms.
    • Perform general office duties, including photocopying, faxing, filing, and processing mail.
    • Maintain inventory of office equipment and medical supplies.
    • Compile statistics and produce reports on admissions, daily visits, discharges, travel, and education.
    • Enter payroll information, maintain employee timesheets, and arrange for replacement of short notice absences.
    • Verify codes and submit invoices for payment.
    • Maintain petty cash account.
    • Schedule meetings, record, type, and distribute minutes.
    • Arrange travel and submit expense forms.
    • Update policy and procedure manuals.
    • Ensure sharp containers are properly secured and forwarded to the appropriate location.
    • Maintain inventory of medical equipment, label new equipment, and ensure equipment is cleaned and maintained.
    Requirements
    • High school graduation plus an administrative support program of over one year and up to two years, which includes medical terminology/transcription courses.
    • One year of previous work experience is required.
    • Demonstrated proficiency, verified by testing, in all of the following areas: Microsoft Applications (Beginner Level) - Word, Excel, Outlook, PowerPoint, Typing, Medical Terminology, Data Entry.
    • Submit a valid and clean criminal record check.
    • Must demonstrate the ability to work efficiently as a member of the team and possess strong interpersonal skills, good judgment, and decision-making skills.
    • Must be able to work all shifts as assigned, maintaining a good attendance record.
    • Must have a high regard for confidentiality.
    • Must have excellent work habits and a professional appearance.
