Executive Assistant to the Executive Director

The Opportunity
We are seeking an exceptional Executive Assistant to provide high-level administrative support to our Executive Director and Chief Operating Officer. This is a 12-month parental leave cover position, with the possibility of extension. The successful candidate will be responsible for ensuring the smooth operation of the Executive Office, providing excellent service to the Institute, and supporting the Executive Director and Chief Operating Officer in their daily activities.
Key Responsibilities
- Provide executive-level administrative support, including diary management, correspondence, and record-keeping.
- Manage correspondence for the Executive Director, including phone calls, emails, and proposals.
- Provide secretarial support for Garvan Leadership Team meetings and other committees chaired by the Executive Director.
- Administer Workday processes, including managing approvals, submitting job requisitions, and generating and processing invoices.
- Provide support for Garvan's Annual Faculty Review Process and Scientific Advisory Board.
Requirements
- Experience in executive support, office administration, and secretarial tasks.
- Administration experience in a research or academic environment, or knowledge of scientific terminology.
- Well-developed verbal and written communication skills, with demonstrated interpersonal and relationship-building skills.
- Demonstrated problem-solving skills and ability to work autonomously and within a close team environment.
- High level of integrity and ability to maintain confidentiality.
- Excellent time management skills, with ability to multitask and prioritize tasks.
- Advanced computer skills, with fluency in software packages including Word, Excel, and PowerPoint.
- Familiarity with budget administration, credit card reconciliations, purchasing, and reimbursement management.
