Executive Assistant to the Executive Director

We are seeking an exceptional Executive Assistant to provide professional administrative support to the Executive Director and Chief Operating Officer. This is a 6-month parental leave cover opportunity with the possibility to extend.
Key Responsibilities- Provide executive-level administrative support, including diary management and scheduling for the Executive Director and COO.
- Manage correspondence for the Executive Director, including phone calls, emails, and record-keeping.
- Provide secretarial support for Garvan Leadership Team meetings, including scheduling, documenting, and sharing agendas, minutes, and actions.
- Work proactively to ensure the smooth functioning of the Executive Office, including greeting visitors, setting up meeting rooms, and maintaining stationery and office equipment.
- Administer Workday processes, including managing approvals, submitting job requisitions, and generating and processing invoices and expenses.
We are looking for an experienced administrative professional with a strong background in executive support, office administration, and secretarial tasks. You will have excellent verbal and written communication skills, as well as demonstrated interpersonal and relationship-building skills. You will be able to work autonomously and as part of a close team environment, with a high level of integrity and ability to maintain confidentiality.
