Business Operations Specialist

About the Role:

The Business Operations Specialist role requires collaboration with cross-functional teams to drive organisational improvements and efficient system delivery.

Responsibilities:
  1. Analyse proposed changes' impact on systems, roles, and processes through stakeholder assessments and impact analysis.
  2. Document current and future states to inform effective change planning and readiness initiatives.
  3. Work with functional teams to uncover pain points, risks, and interdependencies in organisational operations.
  4. Contribute to developing and implementing change management strategies including communication, training, and stakeholder engagement.
  5. Track change adoption progress, gather user feedback, and identify early signs of resistance to ensure smooth implementation.
  6. Maintain records of change logs, risk registers, and progress reports for transparency and accountability.
  7. Create tailored communications (emails, decks, intranet content) for diverse stakeholder groups to promote understanding and alignment.
  8. Coordinate meetings, workshops, and training sessions to foster collaboration and buy-in across the organisation.
  9. Support documentation of new processes, SOPs, user guides, and training materials for newly implemented systems or processes.
  10. Analyse performance data, prepare reports, and dashboards to support leadership decision-making and ensure alignment with key performance indicators.
Required Skills & Qualifications:
  • 1–2 years' experience in a business analyst, change analyst, or junior project analyst role.
  • Familiarity with change management methodologies such as ADKAR, Kotter, or Prosci.
  • Strong analytical and problem-solving skills with ability to interpret data and translate it into actionable insights.
  • Clear and concise written and verbal communication skills for effective stakeholder engagement.
  • Able to document workflows, system changes, and training content accurately and efficiently.
  • Collaborative mindset with strong relationship-building skills across all levels of the organisation.
  • Organised and able to manage multiple tasks while meeting deadlines in fast-paced environments.
