We are seeking an experienced Workplace Operations Manager to lead the day-to-day management of our office. This includes planning, projects, office utilization, sustainability, and cost controls.
The successful candidate will be responsible for managing a team of professionals and interpreting policies to translate goals into programs/projects.
This role requires comprehensive facility, finance, contract, and procurement management with a focus on continuous improvement.
Main responsibilities include:
- Client Relationship Management: Deliver exceptional customer service, capture client feedback systematically, and address issues to end-user satisfaction.
- Strategic Leadership: Understand client business drivers and align team deliverables with these priorities while ensuring high team performance across the account.
- Vendor Oversight: Manage multiple service providers, ensuring timely delivery within budget and compliance with client procurement guidelines during tendering processes.
- Financial Stewardship: Develop and control annual operating/capital plans, track expenditures against targets, ensure proper financial procedures are followed, and provide regular financial reporting.
- Health, Safety & Risk Management: Maintain comprehensive property risk management programs, oversee incident reporting, and ensure compliance with safety policies to protect staff and visitors.
- Site Operations Excellence: Implement and standardize building procedures, manage preventive maintenance programs to minimize costs and equipment failures, and ensure regional consistency of operations.
- Critical Systems Management: Oversee Critical Environment Management (CEM) requirements, coordinate relocation activities, and support Environmental Management System (EMS) and sustainability objectives.
- Reporting & Analytics: Develop meaningful monthly management reports, prepare financial analyses including accruals and variance reporting, and ensure data-driven decision making.
- Team Development: Implement comprehensive training programs on facilities policies and procedures, develop innovative learning methods, and support skill development and succession planning.
- Regional Standardization: Ensure consistency of policies and procedures across regional operations, maintain documentation, and facilitate knowledge sharing among team members.
We are looking for someone with excellent verbal and written communication skills, able to adapt in a fast-paced working environment, and strong analytical, organization, and administration skills.
A minimum of 3-5 years in a people management role is required, as well as knowledge of critical facilities and vendor management for specialized services. A proactive and professional approach to customer service and stakeholder engagement is essential.
