Job Description:

As a key member of our team, you will be responsible for providing administrative support to the Property Manager. Your primary focus will be on ensuring the smooth day-to-day operation of our department, including tasks such as production and management of letting agreements, trust accounting, property owner communication, maintenance invoicing, and ensuring we meet our legal statutory requirements.

Our ideal candidate will have excellent presentation skills, outstanding interpersonal skills, and the ability to work in a fast-paced environment. You will be required to read and respond to written and verbal reports, communicate effectively with internal and external clients, and display enthusiasm and initiative in your work.

Key Responsibilities:
  • Coordinate day-to-day activities between housekeeping, maintenance, and front desk teams
  • Manage and maintain accurate records, ensuring timely distribution of information as required
  • Communicate with property owners via phone and email, addressing their concerns and queries promptly
  • Process and manage maintenance tasks, engaging contractors as necessary, and coordinating tasks with owners for approval and execution
  • Assist the Property Manager with processing invoices and producing end-of-month billing sheets
Requirements:

To be successful in this role, you will need:

  • Minimum 3 years experience in an administration position
  • Advanced skills in Microsoft Office
  • REIQ license
  • Diploma in Administration or equivalent (desired)
