Senior Contract Administrator Job Summary

This is an exciting opportunity to take on a challenging role in a commercial management capacity. As a senior contract administrator, you will be responsible for managing a range of administrative tasks and ensuring that all aspects of the contract are handled efficiently.

  • Contribute to continuous improvement of document control systems by implementing effective procedures and processes
  • Develop a suite of applicable proforma agreements in consultation with the project manager and head of commercial
  • Provide assistance, support, and guidance on all commercial issues to the project and support fellow commercial staff to attain their maximum potential
  • Understand project margins and provide feedback to the project manager on status
  • Facilitate commercial disputes, mediation, and adjudication claims
  • Maintain a comprehensive working knowledge of the head contract and proforma subcontracts
  • Ensure all contractual notices are submitted as per contract requirements and on time
  • Arrange quotations from subcontractors, coordinate, and participate in post-tender negotiations
  • Recommend preferred subcontractors for approval and compile subcontract documents for signing
  • Ensure no subcontractor commences work on-site without necessary approvals, including contract execution, review, and approval of insurances, LSL, superannuation, and redundancy schemes
  • Claim delay damages, EOTs, and variations to maximum potential
  • Mitigate contractual and legal exposure
  • Collections outstanding payments in a timely manner
  • Manage subcontract progress payment claims, variations, contractual claims, and final accounts in accordance with subcontract terms and relevant security of payment legislation
  • Comply with company commercial procedures and corporate governance requirements
  • Establish filing systems and ensure compliance
  • Process accruals and payments in a timely manner
  • Monitor budgets and highlight any likely overruns to the project manager
  • Monitor site staff to ensure correct cost coding
  • Perform financial control to project requirements, in conjunction with the project manager
  • Record and report required project data for measuring overall environmental and sustainability performance against project targets
  • Participate in risk, value management, and sustainability exercises and training relevant to the project
Requirements

A minimum of 5 years' experience in project or contractual engineering or construction is required

Degree qualified, or equivalent

Demonstrated proficiency in Microsoft Office products, particularly Word and Excel, and confidence in database development and management

Experience in construction financial management software is essential

Comprehensive knowledge of commercial management, legal, and governance requirements of construction projects

Knowledge of principles and practices of contract management, program financial management, risk and opportunity management, performance reporting, budget preparation, and administration

Analyse contractual/ legal issues and provide solutions through problem-solving techniques

Possess commercial acumen accompanied by negotiation and inter-relationship skills evidenced by dispute resolution

Solve problems efficiently

Excellent interpersonal and networking skills with ability to communicate effectively at all levels

Ability to prioritize workload and meet project deadlines

Strong team player within a diverse environment

Sound analytical skills with ability to work discreetly
