Customer & Operations Support Coordinator

We are seeking a detail-oriented and dynamic Customer & Operations Support Coordinator to join our growing back-office team. This role is integral to ensuring seamless operations and exceptional support as the company continues to expand.

Key Responsibilities:

Customer Service Support:

  • Respond to customer inquiries and manage customer sales orders in collaboration with the sales team.
  • Create, extend, and maintain customer master data in SAP, including registration of new customers.
  • Handle manual data entry for credit notes, debit notes, returns, and sales invoices.
  • Send reminders for outstanding payments and ensure timely follow-up.

Operations Support:

  • Book transport for delivery orders and communicate with the 3PL warehouse for collections.
  • Confirm delivery orders in SAP, generate sales invoices, and follow up on transport confirmations.
  • Manage physical returns and coordinate logistics for missing proof of delivery.
  • Prepare samples for customers as requested and clear outstanding invoices for samples.
  • Maintain data entry of the physical wall dashboard for visibility of containers.
  • Generate reports on delivery orders, invoicing checks, and scrap communication.
  • Develop and manage an Excel Pricelist Tool for accurate costing and pricing of products.
  • Support sales by generating RFQs using the pricelist tool and coordinate pricing updates with suppliers.

Requirements:

  • Strong attention to detail and excellent organisational skills.
  • Proficiency in SAP and Microsoft Excel; experience with data entry and report generation.
  • Ability to thrive in a fast-paced environment and manage multiple tasks simultaneously.
  • Strong communication skills and a passion for customer service.
  • Previous experience in customer support or operations is a plus.
