Administrative Support Specialist

Everyday Independence is seeking a skilled Administration Assistant to join their team. In this dynamic and challenging role, you will have the opportunity to make a real difference in the lives of children with disabilities and their families.
No two days are ever the same as an Administration Assistant at Everyday Independence. Your tasks may include:
- Scheduling therapy sessions using Skedulo, our scheduling system, in alignment with participants' Therapy Plans or Habit Coach Action Plans.
- Rescheduling sessions if a practitioner or participant is unable to attend a scheduled session.
- Onboarding new participants, including explaining how we deliver our services in the social model and setting expectations for how we will work together.
- Completing over-the-phone risk assessments and accurately recording any identified risks, ensuring our therapists and participants stay safe.
- Maintaining accurate Service Agreements for participants.
- Attending weekly team meetings in the Hub, sharing stories of impact, coffee, and laughs.
- Collaborating with the administration team to complete all tasks across the area efficiently.
- Providing professional and emotionally intelligent customer service over the phone, in person, and via email, ensuring the participant's experience is at the forefront of every interaction.
We are looking for someone with:
Required Skills & Qualifications- Demonstrated experience with scheduling or rostering.
- 2–3 years' experience in administration with a focus on customer service and relationship-building.
- Strong skills in managing client databases and practice administration systems (experience with Salesforce is advantageous).
- The ability to take personal responsibility for participant satisfaction by consistently meeting or exceeding customer needs and expectations.
- Able to act with urgency, set clear priorities, and focus on task completion.
- Attention to detail.
- A team-oriented approach to achieving objectives.
- A problem-solver attitude and adaptability to change.
- Willingsness to grow skills and adapt to feedback.
- Experience in the NDIS/Disability sector is desirable but not essential.
- Pre-employment checks: Working With Children's Check and NDIS Workers Screening Check required before commencement.
