Job Title: Operations Support Specialist

This is an exciting opportunity to join our team as an Operations Support Specialist. In this role, you will provide vital support to senior leadership while contributing across HR, recruitment, IT, and operational improvement.

Key Responsibilities:
  • Executive & Leadership Support – Manage calendars, travel (local and international), itineraries, expenses, and follow-ups ensuring strong stakeholder engagement.
  • Collaboration & Communication – Coordinate meetings, prepare agendas, capture outcomes, and track actions. Support workshops and leadership sessions.
  • Talent & HR Support – Oversee recruitment activities including job postings, candidate communication, interviews, and onboarding. Maintain HR records, contracts, policies, and compliance while supporting WHS and employee engagement.
  • Project & Business Support – Assist with planning, monitoring, and reporting of internal projects. Oversee office operations, supplies, and facilities preparing accurate reports and board documents. Provide general administrative support as required.
  • Technology & Systems – Manage Teams, Xero, SharePoint, and Excel reporting. Coordinate hardware/software requests and user accounts liaising with the external IT provider to resolve issues quickly.
  • Process & Improvement – Refine templates and workflows support compliance and quality assurance contributing to continuous improvement initiatives across the business.
