Business Operations Coordinator Role

We are seeking a highly skilled Business Operations Coordinator to collaborate closely with our company leader, ensuring seamless day-to-day operations.

This role combines operational oversight with hands-on administrative execution, prioritizing tasks, workflows, and business objectives for success.

The successful candidate will be a key partner in daily business operations – anticipating needs, removing obstacles, and managing execution across multiple areas.

Key Responsibilities:
  • Manage and optimize the company leader's schedule, inbox, and travel arrangements.
  • Prepare meeting agendas, briefing documents, and follow-up summaries to ensure seamless communication.
  • Screen, prioritize, and respond to communications on behalf of the company leader in a timely manner.
  • Track key commitments, deadlines, and deliverables to maintain transparency and accountability.
Operations Management:
  • Collaborate on daily business operations, tools, and workflows to drive efficiency and scalability.
  • Maintain and improve operational processes to enhance productivity and performance.
  • Build and manage vendor and contractor relationships to support business growth.
  • Organize and maintain company file structure, project documents, and archives for easy access and compliance.
  • Partner with the company leader on special projects as assigned, leveraging skills and expertise for collective success.
Qualifications and Skills:
  • At least 3 years of experience in an operational or administrative leadership role.
  • Exceptional organizational, communication, and problem-solving skills to navigate complex situations.
  • A high level of discretion when handling confidential or sensitive information.
  • Proficiency in productivity tools, including Google Workspace, Microsoft Office, and CRM/project management software.
  • Able to thrive in a fast-paced environment and adapt to diverse responsibilities.
  • Must be based in the Charlotte Metro Area and available for in-person meetings.
