About the Role

We are seeking a highly skilled and experienced Senior Contract Administrator to join our team at Kapitol Group, Victoria's second largest privately owned construction company.

The successful candidate will have a strong background in contract administration, with a proven track record of delivering high-quality results in a fast-paced construction environment.

Key Responsibilities
  • Assist with the procurement of materials across various projects, including delivery to site
  • Draft subcontract documentation, ensuring compliance with industry standards and company policies
  • Review, develop and administer trade packages scope of work before calling for tenders, ensuring accuracy and attention to detail
  • Assess quotes, negotiate, and provide tender price comparisons and recommendations, utilizing strong analytical and communication skills
  • Respond to on-site requests from site teams, providing timely and effective support
  • Obtain and assess trade variations, and assist with the preparation of head contract variation submission, ensuring seamless project execution
  • Provide regular letting and vetting updates to the Project Manager, ensuring transparency and open communication
  • Manage client and subcontractor RFIs from site, resolving issues efficiently and effectively
  • Head Contract & Subcontract administration, ensuring compliance with company policies and industry standards
  • Manage and track project expenditure and prepare a monthly report, providing valuable insights for project stakeholders
  • Programme and system management, including reviews for compliance, accuracy, efficiency, and improvements, to ensure optimal project outcomes
  • Determine supply costs from new and existing suppliers, leveraging industry knowledge and expertise
  • Data entry and general administration, maintaining accurate and up-to-date records
  • Assist in upskilling Project Managers on commercial aspects of a project, sharing knowledge and expertise
  • Mentor Contract Administrators, Graduates, Cadets, and new starters, providing guidance and support
About You
  • A genuine passion for the construction industry, with a strong understanding of its complexities and challenges
  • Tertiary qualified in Construction Management or a related discipline, with a solid foundation in contract administration principles
  • 7+ years of contract administration experience, ideally in a Tier 1 or Tier 2 environment, with a proven track record of delivering high-quality results
  • Experience in a contract administration role on multiple $50M+ projects, with a strong understanding of project management principles
  • Experience mentoring and coaching junior team members, with a focus on developing their skills and expertise
  • JOBPAC experience preferred, as well as proficiency across MS Suite, with a strong understanding of industry-standard software
  • Agile thinking and ability to identify opportunities, with a focus on continuous improvement and innovation
  • Confidence and demonstrated capability in negotiation, with a strong understanding of industry-standard contracts and agreements
  • Strong communication skills and ability to convey complex issues with clarity and ease, with a focus on building strong relationships with stakeholders
  • A meticulous eye for detail and outstanding record-keeping skills, with a focus on maintaining accurate and up-to-date records
  • Ability to work well both in autonomously and team environments, with a commitment to organisational success and a focus on delivering high-quality results
