We are seeking an organised and experienced professional to take on the role of Administration Assistant.
The successful candidate will be responsible for managing daily administrative functions, including production and management of letting agreements, trust accounting, property owner communication, maintenance invoicing, and ensuring compliance with legal statutory requirements.
- Monitor communication spreadsheets and inform teams of guest movements and items requiring attention.
- Communicate with property owners in writing and verbally as required.
- Manage filing systems for accurate records and distribution.
- Promptly address all maintenance items.
- Engage contractors to quote, obtain approval from owners, coordinate tasks, and process invoices accordingly.
- Maintain log books and ensure key security systems are up-to-date.
- Ensure all legal statutory requirements are met.
- Assist Property Managers with processing invoices and producing end-of-month billing sheets.
- Communicate with housekeeping, front office, reservations, conference, and maintenance departments as required to meet guests' needs and requests.
- Support Property Managers in producing and managing holiday letting agreements.
- Regularly review maintenance tasks, purchasing, and finance procedures with Property Managers.
- Maintain open communication with Property Managers regarding areas of concern.
- Conduct monthly stocktakes with Housekeeping Managers to ensure accurate records are maintained, liaising with Sydney finance.
- Perform additional tasks as requested by Senior Management.
