Job Title: Readiness and Special Events Coordinator

V/Line's Operations Group is seeking an experienced professional to play a key role in ensuring the success of our special events.

The ideal candidate will have strong planning and organizational skills, with the ability to develop indicative plans for special events and submit them to relevant stakeholders within required timeframes.

A successful candidate will be able to create service plans for each special event based on patronage data, business requirements, and Service Level Agreement (SLA) needs.

They will also have excellent communication and interpersonal skills, with the ability to liaise with internal and external stakeholders to review and ensure the safe and effective delivery of service plans.

About the Role:

  • Develop and submit indicative plans for special events to stakeholders
  • Create service plans for each special event based on relevant data and requirements
  • Liaise with stakeholders to review and deliver service plans safely and effectively
  • Identify potential risks and overlapping events that may impact customer experience or Operations
  • Attend meetings to discuss special events and V/Line's requirements
  • Manage readiness activities for special events, including developing documented Special Event Readiness Plans
  • Maintain a dashboard highlighting daily resources needed for special events
  • Lead readiness activities for occupations, ensuring Operations are ready to deliver and manage each occupation
  • Report on readiness status for each event to senior management
  • Conduct briefings, debriefs, and lessons learned as required
  • Review current practices to identify opportunities for continuous improvement and financial benefits
