About the Role

We are seeking a highly motivated and organized individual to join our team as a Lobby Ambassador. As the first point of contact for our clients, you will be responsible for delivering a seamless and outstanding reception and facilities coordination experience.

Key Responsibilities
  • Provide administrative support to clients and the facilities team, including processing invoices and managing meeting rooms.
  • Build and develop effective relationships with clients and stakeholders across multiple levels of the organization.
  • Ensure visitor sign-in and sign-out procedures are followed, and issue visitor badges as needed.
  • Book and manage meeting rooms, order catering, and arrange room set-ups and pack-downs.
  • Maintain a clean and organized workspace, ensuring rooms are stocked with necessary supplies and are in good working order.
  • Provide tea and coffee making services for client meetings, including coffee runs as required.
  • Arrange catering for meetings and events, and manage car parking for visitors as needed.
  • Liaise with cleaners to attend to staff needs on housekeeping matters.
  • Book travel for the agency when necessary.
  • Ensure audio-visual services are in place and functioning properly for meetings and events.
  • Fulfill ad-hoc requests promptly and efficiently to support the facilities team or clients.
  • Manage and induct contractors on site to ensure they meet required standards.
Requirements
  • A motivated self-starter with a proven track record of delivering best practice and quality to clients.
  • Experience in reception, preferably in a corporate environment.
  • Able to present a professional and friendly corporate image to clients.
  • Ability to interact well within a team and learn new systems quickly.
  • Confident in interacting with all levels of the organization, from CEO to cleaning contractors.
  • Able to work with minimal supervision.
