Executive Assistant

Purpose of the RoleWe're seeking a highly skilled Executive Assistant to join our Sydney workplace team on a full-time basis for a 12-month contract. The successful candidate will provide exceptional support to a team of lawyers, ensuring seamless day-to-day operations and contributing to the firm's continued success.
Key Responsibilities- Develop and maintain productive relationships with key internal stakeholders;
- Manage electronic and hard copy documents and files with precision;
- Coordinate diary management and organization of fee earners;
- Produce high-quality documents, including the use of precedents and new documents;
- Organize and coordinate meetings, ensuring seamless logistics;
- Monitor emails and respond to telephone calls in a timely manner;
- Arrange interstate travel and accommodations;
- Draft correspondence, prepare documents, and make amendments as required;
- Reconcile corporate AMEX expenses through Concur;
- Manage high-volume file management, including file opening and closing, electronic and physical filing;
- Conduct the billing cycle, including end-of-month billing, time recording, and reporting using Elite;
- Manage client billing protocols;
- Perform other ad-hoc duties as required.
- 2+ years of experience in a legal or EA role, preferably in a high-volume and fast-paced environment;
- Excellent prioritization and organizational skills;
- Proven ability to multitask and manage multiple priorities;
- Strong understanding of MS Office applications, including Word, Excel, PowerPoint, and other software;
- Ability to prioritize multiple tasks and manage deadlines;
- A strong client focus and demonstrated ability to form enduring relationships with peers, internal stakeholders, industry experts, and clients;
- An adaptable and flexible nature;
- Ability to handle confidential information with discretion;
- High level of accuracy and attention to detail;
- Ability to communicate clearly and confidently at all levels;
- A proactive approach and high levels of initiative;
- High level of energy and enthusiasm.
