About the Role:

The Facilities Coordinator will provide critical support to the Emergency Management Team, ensuring the safety and compliance of onsite teams. This role will work closely with the Emergency Management Manager and Vendor Manager to oversee training, data updates, and administrative tasks.

Key Responsibilities:

  • Support the Emergency Management Team in the oversight of training and data updates
  • Assist with conducting and recording minutes of the Monthly Vendor Management Meeting and fortnightly Client meetings
  • Review and upload Vendor Monthly Performance Reports to the Client Portal
  • Assist the Emergency Management Manager with planning upcoming schedule or training changes, milk-runs, and site documentation upgrades
  • Respond to site-based general inquiries on Training operations and diagrams
  • Create initial reactive requests and work orders to address issues raised by the Vendor and Client
  • Verify the contents of documents uploaded to the Corrigo portal
  • Create financial proposals and verify invoice data
  • Update schedule information in Corrigo

Requirements:

  • Proactive with a keen eye for detail and the ability to balance multiple priorities while delivering outstanding customer service
  • Can-do attitude with proven ability to build and maintain relationships
  • Strategic thinker who can deal with ambiguity and solve complex problems effectively
  • Proficient in all Microsoft platforms
  • Ability to adapt quickly to changing environments
  • Knowledge of local occupational health and safety requirements, or willingness to learn
  • Strong communication skills, written and verbal
  • Strong budget management and financial analysis skills
