Job Summary

The Administrative Coordinator is responsible for the daily management of all administrative tasks across the Australian branches. This role involves providing assistance to staff and managers, performing office tasks, responding to communications, and overseeing administrative office supplies and ordering through vendors as required.

Main Responsibilities

  • Provide administrative support to staff and managers, including office duties and admin-related operations.
  • Perform office tasks, respond to communications, and oversee administrative office supplies and ordering.
  • Order office and warehouse supplies and furniture on account or credit relationships with vendors.
  • Answer questions and find information for employees, including travel arrangements and digital employee records.
  • Manage the admin team to approve all invoices and ensure payroll information is submitted on time.
  • Update the leave calendar with current personal and annual leave records and accruals for all employees.
  • Proactively pass on details to management to complete RAF forms where required.
  • Submit Leavers forms and calculate final annual leave owed to employees.
  • Collaborate with HR Recruitment to create and post job ads, compile resumes, and perform reference checks.
  • Manage the ID spreadsheet for all employees and LSPs, ordering new IDs and ensuring all IDs are up to date.
  • Order equipment for staff, including PPE and uniforms.
  • Manage vehicle insurance claims and organise van insurance account management.
  • Assist with projects such as office relocations and new locations.

Requirements

  • HSC or Degree in Administration preferred.
  • Proficiency in applications, particularly Excel, Outlook, and Word.
  • Excellent communication skills.
  • Ability to work independently and under pressure in a fast-paced environment.
  • Strong team and individual management skills.
  • A minimum of 1-2 years of experience in similar roles.
