Telephone Operator Job Description

This role involves answering and managing telephone calls, responding to requests, and providing administrative support to a business services team.

Key Responsibilities:
  • Answer and manage telephone calls efficiently with a professional and helpful manner.
  • Transfer callers promptly to the appropriate staff member or department.
  • Process incoming faxes accurately and promptly.
  • Monitor shared mailboxes and action requests in a timely manner.
  • Process invoices by due dates.
  • Coordinate after-hours services when required.
  • Liaise with building management and security on tenancy issues.
  • Support occupational health and safety standards by maintaining a safe and secure tenancy.
  • Provide support to the business services team as requested.
Requirements and Qualifications

We are looking for someone who is proactive, a team player, and has technical skills to perform the role effectively. You should have experience as a switchboard operator, receptionist, or similar role within a professional services environment.

  • Proficient in Microsoft Office.
  • Desire for experience with legal systems such as Elite 3E and iManage.
  • Strong written/verbal communication and professional phone manner.
  • Excellent client service skills.
  • Effective time management with ability to prioritize and handle multiple tasks.
  • Self-motivated, proactive, and solutions-focused.
  • Adaptable and team-oriented.
  • High attention to detail and commitment to quality work.
