Job Description

The primary responsibility of the Systems Planning Analyst is to manage and coordinate vendor and financial administration and reporting for a department. This includes providing comprehensive administrative support to the team as needed.

Key Responsibilities
  • Financial:
    • Coordinating and supporting financial reporting for vendors and projects, including accruals, invoices, statements, and end-of-year processing.
    • Assisting in budget forecasting and reporting on monthly actual spend versus budget forecasts.
    • Processing invoices and payments.
  • Administrative Support:
    • Performing day-to-day administration tasks related to activities, including communications, facilities management, business process handling, and policy execution.
    • Facilitating communication within the department, across departments, branches, and with other teams to organize room bookings, schedule meetings, and follow up attendees.
  • Project/Vendor Support:
    • Collaborating with teams on vendor management processes, including contract renewals, invoicing, and compliance checks for service providers.
    • Supporting other teams on business process requirements.
    • Coordinating plans with project managers and teams.
    • Executing procedures, such as business travel and outsourcing screening.
    • Managing expenses budgets and reports.
