About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Anton Murray Consulting. As a key member of our Sydney office, you will provide operational support to our Wealth Management department, ensuring the smooth day-to-day functioning of our office.

Key Responsibilities
  • Provide administrative support to the NSW State Manager and Administration Manager, including managing their schedules, coordinating travel arrangements, and handling correspondence.
  • Support the administration of the entire office, including maintaining files, updating internal systems, and performing data entry tasks.
  • Coordinate events, seminars, and client meetings, including room bookings, RSVPs, and catering arrangements.
  • Assist with the coordination of branch events, client events, seminars, research, and company presentations.
  • Manage the branch inbox, responding to queries from various teams and ensuring timely resolution of issues.
  • Travel booking for management and assisting other staff as required.
  • Compile and reconcile expense claims for Management and assisting other staff as required.
  • Maintain leave registers for all staff, performing monthly reconciliation of leave register vs leave entered in Workday system.
  • Process invoice requests from front office staff, liaising with the Finance team as required.
  • Maintain organizational charts, phone lists, and floor plans.
  • Update internal systems or relevant teams as required.
  • Document management, storing, filing, and archiving of client and management documents.
  • Distribute daily open order trade reports.
  • Assist with processing new hires or leavers for the Sydney office.
  • Assist with administering Advisor leaver process, including code setup.
Requirements
  • 1-3 years of prior administration experience in a corporate or financial services institution.
  • Tertiary degrees highly preferred, especially those within commerce-related fields.
  • Prior exposure to financial services preferred, though recent graduates with minimal exposure will still be considered.
Key Competencies
  • Excellent customer service and telephone manner.
  • Great organization skills and ability to maintain files.
  • Well-developed IT literacy, database, and analytical skills.
  • Knowledge or interest in financial markets and the wealth management/financial planning industry – highly desirable.
  • Understanding of compliance and legal requirements pertaining to our client.
  • Administrative experience preferred.
  • Experience within a broking environment highly desirable.
