Job OverviewThe successful candidate will be responsible for ensuring the smooth day-to-day running of the office, planning and delivering a wide range of events, and working closely with senior management and internal stakeholders. The ideal candidate will be proactive, detail-oriented, and skilled at managing multiple priorities, with a strong focus on team coordination, office efficiency, database management, and event execution.
Key Responsibilities- Oversee daily office operations, creating a professional, welcoming, and efficient environment.
- Manage office supplies, facilities, and vendor relationships.
- Support team members with administrative needs, including scheduling, travel arrangements, and correspondence.
- Implement and maintain office systems, processes, and databases to ensure efficiency.
- Manage and maintain the CRM database, ensuring client information is accurate, current, and well-organised.
- Support internal teams by ensuring resources, tools, and logistics are in place to achieve business objectives.
- Assist with HR administration, staff onboarding, and internal workflow coordination.
- Closely collaborate with senior management to align office operations and events with business strategy.
- Monitor key priorities and follow up on tasks to support senior leadership in achieving outcomes.
- Assist in preparing reports, presentations, and internal documentation as required.
- Plan, coordinate, and deliver a variety of events, including client experiences and brand events.
- Liaise with venues, suppliers, and internal teams to ensure seamless execution.
- Develop and manage event budgets while maintaining the highest luxury standards.
- Prepare event timelines, schedules, and detailed run-of-show documents.
- Work with marketing and PR teams to ensure brand consistency across all touchpoints.
- Oversee on-site event management to provide exceptional experiences for guests and staff.
- Track event outcomes and provide post-event analysis and recommendations.
- Relevant academic qualification or a minimum of 5 years' proven professional experience in office management and event coordination, ideally within luxury or high-end environments.
- Strong organisational and time management skills with acute attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with project/event management tools (such as Monday.com) is a plus.
- Demonstrated ability to support senior management and internal stakeholders in achieving business goals.
- Experience liaising with VIP clients and coordinating high-profile events is highly desirable.
- Ability to work both independently and collaboratively as part of a team.
- Flexibility to travel and work outside standard business hours when required.
