
Senior Administrative Coordinator

We are seeking an experienced Governance and Leadership Secretary to provide high-level administrative support to our Maritime team. This role is responsible for coordinating meetings, preparing agendas, and ensuring compliance with governance requirements.
Key Responsibilities:
- Coordinate Board and subcommittee meetings, including scheduling, logistics, and technology requirements
- Prepare and distribute agendas, pre-reading material, and reports in a timely manner
- Liaise with stakeholders to gather and review board submissions
- Attend all meetings and take accurate minutes
- Maintain an accurate decisions and action items register
- Familiarize yourself with governance and contractual requirements to provide guidance to the Board
- Uphold confidentiality, integrity, and professionalism in a complex environment
About You:
- Previous experience as a Secretariat or Executive Officer supporting a Board or Executive Governance Body
- Experience facilitating Board level meetings, including agenda setting and minute taking
- Ability to work effectively with Board Members and stakeholders
- Commercial / Contracts experience is desirable but not essential
- Results driven, pragmatic, and agile in work practices
- Excellent written communication and documentation skills
