
Strategic Administrative Specialist

This role is responsible for providing high-level administrative and executive support to senior leaders. The Executive Support Officer ensures the efficient management of executive schedules, correspondence, and stakeholder interactions contributing to effective governance and operations.
The ideal candidate will enable senior leaders to focus on strategic priorities ensuring the delivery of high-quality services that support the well-being, dignity, and independence of older individuals. The Executive Support Officer will work collaboratively across teams to enhance operational effectiveness, streamline administrative processes, and support a values-driven culture.
Key Responsibilities- Provide high-level executive support to ensure daily operations run smoothly. Manage executive calendars, appointments, and meetings aligning with organisational priorities.
- Coordinate internal and external stakeholder meetings scheduling, agenda preparation, documentation collation, and taking minutes with action items.
- Draft, review, and manage correspondence including emails, reports, and briefing documents.
- Prepare board papers, reports, and presentations ensuring accuracy and alignment with organisational objectives.
- Prioritise and triage incoming requests ensuring executives focus on high-impact activities.
- Arrange travel logistics including accommodation, transport, and itineraries to support business activities.
- Organise meeting spaces including room bookings, setup, technology support, and catering arrangements.
- Provide backup support to other executive team members ensuring seamless support.
- Maintain strict confidentiality and professionalism handling sensitive information.
- A high degree of accuracy and attention to detail.
- Strong communication and interpersonal skills engaging with executives, colleagues, and external stakeholders.
- Strong verbal and written communication skills.
- A high level of discretion, confidentiality, and professionalism handling sensitive information. Ability to work autonomously and collaboratively demonstrating initiative and problem-solving skills.
- Ability to adapt to changing priorities and maintain composure under pressure.
- Ability to work autonomously as well as part of the executive support team.
- Strong time management, organisational skills, and proven ability to manage pressure and competing demands.
- Advanced proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
