Project Support Specialist Role

This role provides practical and timely support to project teams.

Key Responsibilities:
  • Provide support to all current and future projects
  • Create and maintain project schedules
  • Act as the primary point of contact in the PMO
  • Schedule stakeholder meetings, prepare minutes and document actions
  • Ensure resources are allocated accordingly and all hours are captured and accounted for (timesheet confirmation and audit)
  • Capture critical project information including schedule, milestones, resourcing, costs, risks and other information
  • Provide administration support to leaders and other project managers when required
  • Assist with capturing and documenting work breakdown structures, particularly at the sales capture and tendering phases
  • Capture all other project milestones and work with delivery managers and project managers to ensure milestones are tracked
  • Capture project contract change procedure (CPP) and ensure variations are captured and actioned
  • Capture project RAID logs (Risks, Actions, Issues, Decisions) and project risks in the risk register
  • Establish project reporting tools and dashboards (Jira, Confluence, etc.)
  • Establish and maintain any required project specific policies and procedures, including SharePoint

About You

  • Australian citizen with a current or recently inactive clearance
  • High level of detail and accuracy, and commercial acumen
  • Project support or project management experience within complex projects (preferred)
  • Cert 4 in Project Management & Prince 2 practitioner (highly regarded)
  • Technical background in ICT, Technology or Engineering (highly regarded)
  • Experience using Jira or other project tools
  • Highly experienced using MS Office suite, particularly Visio, Excel and PPT
  • Able to multi-task and show initiative when required
  • Able to build and maintain relationships
