Job Title: Front of House Coordinator

The role of a front-of-house coordinator plays a vital part in the overall experience of clients and visitors at our allied health clinic.

This dynamic position provides a professional, efficient, and warm welcome while supporting clinicians, the administration team, and remote staff in delivering high-quality services.

You will be responsible for managing reception duties, coordinating appointments, communicating with clients, and assisting with administrative tasks to ensure seamless collaboration between the in-clinic and remote teams.

Key Responsibilities:

  • Greet clients, carers, and visitors warmly and professionally in person and over the phone.
  • Schedule, confirm, reschedule, and cancel appointments in coordination with therapists and the remote admin team.
  • Check in clients, notify therapists of arrivals, and manage waiting area flow.
  • Process payments, issue receipts, and assist with claims (e.g., NDIS, Medicare).
  • Maintain accurate and confidential client records, uploading documents as needed.
  • Liaise effectively with therapists, intake, accounts, and remote admin team members to ensure continuity of service.
  • Collaborate with the remote team to handle administrative workflows, including booking lists, report follow-up, and document management.
  • Ensure the reception area is clean, organised, and stocked with necessary materials.
  • Support the team with other administrative and operational tasks as required.
