Job Title: Guest Service Agent

We prioritize delivering exceptional resident and visitor experiences. Our focus is on anticipating needs, listening to residents and visitors, and making every interaction simple, effective, and quick.

This role involves a wide range of tasks and workplace services, including:

Main Responsibilities

  • Meet and greet visitors with a professional greeting and smile
  • Guide visitors to the relevant waiting lounge or meeting room and inform hosts of their arrival
  • Answer the phone within 3 rings

Concierge Services

  • Issue and collect access passes for employees and visitors using an agreed registration system
  • Maintain the front of house/reception area and adjacent services to a high standard of presentation
  • Update relevant processes and guidelines in a central location
  • Manage inductions and photos for new employees and store them securely
  • Provide content for the workplace newsletter and inform employees about available resources
  • Ensure Concierge Desk coverage matches building operating hours and rosters

Support and Assistance

  • Manage requests regarding car park, floor locker, exercise locker, and end of trip facilities promptly
  • Log tenancy and workplace related issues via an agreed process and system
  • Direct visitors and provide solutions for their requirements as it relates to the workplace

Meetings and Events

  • Support employees with location and workplace guidelines for meeting rooms
  • Assist employees with booking events and associated catering and beverage services
  • Assist with building tours and support with specialized room setup/pack down
  • Assist employees with accessing guidelines and procedures for meeting room technology

Distribution and Logistics

  • Collect, sort, and deliver courier, newspaper, subscriptions, and mail items at scheduled times
  • Coordinate bulk deliveries by directing external delivery representatives to storage areas

Requirements

  • Experience in reception or frontline information exchange
  • Minimum completion of year 12 High School
  • Basic to intermediate Microsoft Office Suite skills
