Job Title: Facilities Operations Coordinator
Are you a highly organized and detail-oriented professional looking for a challenging role in facilities administration? Do you have excellent communication skills and the ability to work independently with minimal supervision?
The ideal candidate will possess strong previous experience as a team assistant/administrator in a professional environment working for senior leaders and their direct reports. You will be responsible for providing administrative support to the facilities leadership team, including responding to emails, phone calls, and coordinating meetings.
Responsibilities:
  • Provide administrative support to the facilities leadership team, including responding to emails, phone calls, and coordinating meetings.
  • Plan and coordinate subcommittee meetings, including the Grounds Subcommittee and Yarra Park Advisory Committee.
  • Manage the diaries of the facilities leadership team and arrange travel arrangements as needed.
  • Coordinate bi-monthly department reports for stakeholders and the General Manager.
  • Update and provide monthly operations budgets for the leadership team and run ad-hoc reports in QFM asset management system.
  • Manage budgets and ad-hoc projects.
  • Assist the facility management team with creating tender documentation and assisting with the tendering process.

Requirements:
  • Strong previous experience as a team assistant/administrator in a professional environment working for senior leaders and their direct reports.
  • Excellent customer service and relationship management skills.
  • Technical savvy with strong Microsoft Office skills across Word, Excel, Outlook, and PowerPoint.
  • Maturity of judgment, confidentiality, diplomacy, and discretion.
  • Excellent administration and organizational skills.
  • Well-developed interpersonal, verbal, and written communication skills.
  • Demonstrated ability to develop strong and meaningful relationships with internal and external stakeholders.
  • Capability to manage budgets and manage projects with limited supervision.
