Role Purpose
The IELTS PSN Online Speaking Administrator is responsible for the provision of administrative support for the delivery of IELTS Online Speaking tests and the management of IELTS Speaking examiners. The administration includes providing administrative support to the IDP Central Global Hub, undertaking quality and compliance checks for VCS global centres, and Online Speaking Examiner standards management. A central role is working with global test centres to ensure the efficient delivery of the VCS speaking tests.
Key Responsibilities
- Maintain a full Online Speaking Examiner database (IOL and VCS)
- Manage training and certification events including coordinating, reporting and action in relation to certification dates for Speaking Examiners
- Maintain records for Speaking Examiners, including the preparation and issuing of all new Speaking Examiner Agreements and other documentation
- Manage the scheduling of online Speaking Examiners (IOL and VCS)
- Manage the scheduling of Speaking examiners to mark EORs/Jaggeds
- Ensure the re-mark team are informed of all non-standard results
- Update and maintain Examiner Training materials
- Maintain updated SOP of workflow for IO Speaking Coordinators
- Coordinate and track the monitoring of Speaking examiners
- Coordinate and track access to all Examiner secure materials
- Coordinate with the IOL Support teams (India) for all live IOL testing
- Support the effective and efficient payment of Speaking Examiners
- Support the Examiner Standards Managers
- Identify opportunities for process improvement and provide suitable back up administrative support during periods of leave.
Requirements
Minimum Diploma level qualifications with relevant experience in an administrative role
Demonstrated organisational skills and ability to maintain focus under pressure.
Sound time management skills
Ability to recognise problems/ issues as they arise and forward them to the line manager and/or relevant department when appropriate.
Ability to make decisions and act with integrity.
High level proficiency in MS Office suite, including word processing, excel spreadsheets, databases, electronic mail, and the use of the internet as research tool.
Demonstrated ability to work independently, follow established procedures with limited supervision and contribute positively to an effective team.
Demonstrated ability to gain a conceptual understanding of PSN related policies, procedures or systems, and to interpret and apply policies in everyday tasks.
Strong written and communication skills
Desirable
Experience in operating within a global framework
Appreciation of the impact of cultural and geographical diversity when managing centre data and team members in geographically dispersed locations
Experience with Power BI, Power Query, and Visual Basic Applications
Bachelor's degree (or higher)
