The Shared Services team partners with leaders across the organisation to deliver on strategic and operational goals, ensuring excellence in governance, compliance, and business operations. About the opportunity This role provides high-level executive coordination, communication, and professional support to the Chief Operating Officer (COO). It is a dynamic position that combines executive administration with support in the planning and execution of strategic projects reporting to boards, and leadership of the administration and reception function. The successful candidate will contribute to strategic planning, oversee operational priorities, and deliver reports and recommendations that inform organisational decision-making. Key Responsibilities - Support and coordinate projects that contribute to the organisation’s strategic objectives. - Represent the COO’s office on committees and working groups as required. - Facilitate strategic and operational planning activities. - Work closely with the Executive Assistant to the COO to provide executive-level administrative and operational support, including correspondence, and workflow prioritisation. - Undertake research, data analysis, and policy review to support strategic decision-making. - Coordinate business cases, briefing notes, reports, and submissions for senior leadership and Boards. - Lead and manage the administration and reception function, ensuring smooth operations and a customer-focused approach. About you You are an experienced professional with strong organisational, research, and analytical skills. You thrive in a complex environment, balancing executive support responsibilities with project and leadership duties. You are confident liaising with senior stakeholders and able to lead and develop teams to deliver service excellence. Essential - Relevant tertiary qualifications or equivalent experience. - Proven experience in managing executive support or administrative functions. - Strong organisational and project management skills. - Excellent interpersonal and communication skills, with the ability to influence and build relationships. - High-level proficiency in MS Office Suite, Power BI and other business systems. Desirable - Postgraduate qualifications. - Previous experience leading a team.
