**About the position**

Reporting to the CEO, this Part Time/Job Share position will ensure the smooth running of the executive office and the Board. Duties and responsibilities include:

- Calendar management including scheduling and prioritising meetings;
- Attending Board and Committee meetings as necessary, taking notes, and providing follow-up support as needed;
- Preparing meeting materials, including Board and Committee papers, ensuring that they are accurate, professional, and uploaded to Diligent in a timely manner;
- Acting as a liaison between the CEO, the Board and other key stakeholders, exercising discretion at all times;
- Working closely with all organisations within the Group, including the nib Newcastle Knights and West Rosellas;
- Providing administrative support as needed, including responding to correspondence, organising files, managing expenses, processing invoices, and performing other tasks as assigned by the CEO and/or Board;
- Organising and coordinating travel arrangements, including flights, accommodation, and other travel arrangements.

**About you**

To be successful in this role, you will have:

- A minimum of 8 years of experience in a similar role supporting a senior executive/Board in a fast-paced and dynamic environment;
- Demonstrated abilities in the use of technology, including Microsoft Office, Google Suite, Diligent and other relevant software and technical tools;
- Excellent organisational and time-management skills, with the ability to manage multiple tasks simultaneously and prioritise competing demands effectively;
- Strong communication and interpersonal skills, with the ability to communicate effectively with individuals at all levels of the organisation and external stakeholders;
- Demonstrated ability to handle confidential and sensitive information with discretion and professionalism;
- Strong problem-solving and analytical skills, with the ability to identify and address issues in a timely and effective manner;
- Strong attention to detail and a commitment to delivering high-quality work products; and
- Ability to work independently with mínimal supervision, while also collaborating effectively with other members of the executive team and staff.
