The Department of Government Services (DGS) was established on 1 January 2023 to improve everyone's experience of doing business and interacting with the Victorian government. We bring important day-to-day services together in one department to make things easy and seamless for Victorians and businesses. We are doing this by connecting and digitising our systems and platforms across state and local government as well as streamlining our corporate and procurement services.
About the role
The role of Executive Assistant to the Chief Operating Officer (COO) is responsible providing high-level confidential secretarial and administrative support to management of the Office of the COO and manage the administrative process for the office.
Manage positive working relationships and liaise with senior executive management, departmental staff, ministerial offices and other public and private sector agencies to collect or impart information and arrange meetings.
About you
To be considered for the role, you must be able to demonstrate:
- Initiate and maintain strong relationships at all levels across DGS, other VPS departments and agencies and other senior stakeholders to enable the COO to access timely, accurate and integrated advice.
- Work closely with the staff in the Office of the COO and other staff to ensure the effective operations and performance.
- Provide advice and assistance to the COO and other staff on the development of high-quality briefings, submissions and other formal correspondence, ensuring work is high quality, accurate and delivered in a timely manner.
- Provide authoritative, objective advice and support directly to the COO on ensuring smooth and effective operations of the office.
- Represent the Office of the COO at meetings relating to the day-to-day operations of the Secretary or its staff, liaising with key stakeholders, consistently representing departmental values, promoting service excellence, and demonstrating sound professional judgement. Including organisation of meetings and travel, including diary management, the preparation of presentations and agendas, acting as minute secretary and facilitating follow-up action
- Contribute to design and maintenance of best government practice processes affecting DGS and Office of the COO.
