An exciting opportunity has arisen for a highly organised and dependable Executive Assistant to join a well established and growing organisation based in Melbourne. You will play a pivotal part in ensuring the smooth running of executive operations, from managing diaries and travel arrangements to assisting with board meetings and presentations. What you/'ll do
- Oversee diary management for Senior Executive, balancing priorities and commitments
- Manage and follow up on action items from weekly and monthly management meetings
- Organise board meetings, including scheduling, agendas, minutes and material distribution
- Coordinate domestic and international travel, including itineraries, flights, visas and expenses
- Conduct research on market trends, competitors and developments
- Assist in preparing presentations, ensuring accurate, well-formatted and engaging content
- Provide personal support with expenses, apps, memberships and system issues
- Be a point of contact for internal and external stakeholders
- Maintain confidentiality when handling sensitive business or personal information
- Collaborate with other departments ensuring smooth communication and operations
What you bring
- Proven experience providing high-level executive support within a professional or corporate environment
- Strong organisation skills with ability to multi-task
- Excellent interpersonal skills; build rapport easily with internal and external stakeholders
- Outstanding communication skills both verbal and written
- Proficient in MS Office and other systems for scheduling and travel management
- Ability to work autonomously and use initiative
- Proactive problem-solving skills
- Adaptable and response to shifting priorities and urgent requests
