Your role:
The Administration Coordinator plays a vital role in supporting the Facilities team by delivering high-quality business administration services. Key responsibilities include stakeholder engagement, data entry for accounts payable and maintenance, preparation of purchase orders and vendor payments, and compiling and presenting business information.
This role is instrumental in fostering a positive team culture and a safe working environment. The successful candidate will champion quality systems and a customer-focused approach by building and maintaining strong relationships with stakeholders across the business.
Key Responsibilities:
- Facilities Administration: Provide business support including stakeholder coordination, accounts payable data entry, purchase orders, and vendor payments.
- Vendor & Compliance Management: Maintain accurate vendor records, ensuring licences and insurances are valid before work commences.
- Work Order & AP Processing: Manage work order requests and ensure timely, accurate invoicing and time records.
- Safety & Sustainability Oversight: Enforce site safety protocols, conduct inspections, and maintain compliance documentation.
- Stakeholder Communication: Liaise with internal teams and external contractors to support smooth operations and distribute site notifications.
- Reporting & Team Support: Manage facilities data and reporting, support budgeting, and assist with mailroom and reception functions as needed.

Skills & Experience
- Qualifications & Experience: Certificate or Diploma in Facilities Management or related field (preferred), with 2+ years’ experience in a facilities or property coordination role within a multi-site technical environment.
- Information Management: Proven ability to develop systems for storing and managing commercial and confidential data.
- Communication & Stakeholder Engagement: Strong written and verbal communication skills, with confidence and tact in handling challenging situations.
- Technical Proficiency: Skilled in Microsoft Office and facilities management software, with solid understanding of safety standards and building codes.
- Organisational Skills: Exceptional attention to detail, multi-tasking ability, and capacity to meet tight deadlines.
- Analytical & Business Acumen: Highly numerate with strong data presentation skills and a sound understanding of business operations.
