The Role
The Contract Administrator will be responsible for preparing, reviewing, and managing all commercial contracts between 2K Embroidery, its clients, and suppliers. The role ensures that every supply and service agreement — covering raw materials, embroidery services, logistics, and customer orders — is properly documented, monitored, and executed to protect the company’s interests and maintain smooth business operations. This position requires strong analytical, negotiation, and communication skills combined with a solid understanding of business management and trade processes.
Key Responsibilities
- Draft, review, and administer contracts with suppliers, wholesalers, distributors, and clients to ensure accuracy and compliance.
- Maintain an up-to-date database of all commercial contracts, purchase orders, and service agreements.
- Liaise with the production, sales, and finance teams to ensure contract terms are executed efficiently and cost-effectively.
- Monitor contract performance, delivery timelines, and payment milestones.
- Negotiate terms with suppliers and customers to ensure favourable conditions for the company.
- Evaluate supplier performance and recommend improvements or contract adjustments where needed.
- Ensure all contracts comply with relevant Australian commercial and workplace legislation.
- Prepare management reports and assist in budgeting, procurement planning, and cost control.
- Support the Directors in implementing process improvements, risk assessment, and business development initiatives.
- Provide administrative and analytical support to cross-functional teams in contract-related matters.
Qualifications
Essential:
- Bachelor’s degree in Business Administration, Economics, or a related discipline.
- At least 3-5 years of experience in business management, sales, or contract coordination roles.
- Proven ability to manage commercial transactions, supplier relations, and customer accounts.
- Strong negotiation and problem-solving skills.
- Excellent communication skills and proficiency in English and Vietnamese (preferred).
- High attention to detail, accuracy in documentation, and organizational efficiency.
- Ability to work collaboratively in a fast-paced production environment.
Desirable:
- Familiarity with Australian business contracts, invoicing, and trade compliance requirements.
- Experience within manufacturing, textiles, or wholesale trade environments.
- Strong computer literacy, including Microsoft Office and database management.
