Overview
Oversee the day-to-day administrative and operational functions of the business, ensuring smooth office management and supporting the leadership team in achieving business objectives. The role requires strong organizational and leadership skills to maintain efficient office systems and compliance with company policies.
Responsibilities
- Coordinate and manage daily office operations, including scheduling, correspondence, and record-keeping.
- Supervise and support administrative staff, delegating tasks and ensuring workflow efficiency.
- Monitor budgets, process invoices, and oversee accounts payable/receivable in collaboration with the finance team.
- Manage HR-related functions such as recruitment, onboarding, and maintaining employee records.
- Ensure compliance with workplace health, safety, and legal requirements.
- Liaise with suppliers, service providers, and external stakeholders.
- Develop and implement office policies and procedures to improve efficiency.
- Provide executive-level support to senior management, including report preparation and meeting coordination.
- Oversee the maintenance of office equipment, IT systems, and supplies.
Qualifications
- AQF Diploma or higher qualification in Business Administration, Management, or related field (or equivalent).
- Proven experience as an Office Manager, Administration Manager, or in a senior administrative role.
- Strong organizational and time-management skills with the ability to handle multiple priorities.
- Competency in financial administration, including budget management and reporting.
- Solid knowledge of HR practices, compliance, and workplace legislation.
- Excellent communication and interpersonal skills to liaise across all levels of the business.
- Ability to lead, train, and motivate administrative staff.
- Proficiency in office software (MS Office Suite, accounting and HR systems).
- Knowledge of WHS standards and HR legislation.
- Additional certifications in HR, finance, or project management are desirable.
